Safety information and code of conduct

1. General / objective

1.1 General

The following safety information and code of conduct are acknowledged by all site managers/operators. F.L.G. makes it clear that this short version is only an extract of the rules and duties to be complied with at the sites. They must be checked by the relevant management team against local requirements. If local risks or legal requirements conflict with site rules and duties, the site rules and duties must be adapted to local circumstances. The adaptation must be agreed with the Head of SEUB and the Head of Corporate Security.

To provide information that describes a reliable and universally applicable safety culture.

2. Scope of application

2.1 Geographical scope of application

In geographical terms, the safety information and code of conduct apply to all F.L.G. companies.

2.2 Personal scope of application

This safety information and code of conduct must be followed by all employees, students, service providers, suppliers, contractors and their staff, and visitors.

3. Safety information and code of conduct

3.1 Safety and security

Written or verbal instructions on maintaining safety and security issued by persons appointed by site managers to perform safety and security duties (e.g. site security staff) must be followed. Instructions issued by incident command, emergency/crisis management and the SEUB department, which is responsible for industrial safety, energy, environmental protection and buildings, must be complied with, in particular in the case of incidents involving imminent danger.

3.2 Information security

Documents relating to the company, in particular those that contain confidential information, must not be left open or lying around without supervision. Computer access must be protected with a secure password. When leaving the workplace, it must be ensured that screens are locked and all documents relating to the company are locked in a cabinet/drawer. When leaving the premises, all doors and windows must be closed.

3.3 Entering and leaving F.L.G. sites

F.L.G. sites must only be entered or left using the designated entrances and exits. Employees are permitted to enter sites only if they can produce valid authorisation in the form of F.L.G. company ID. ID must not be transferred to third parties. Service providers, suppliers and visitors are permitted to enter sites only if they have previously been issued with a specific company or visitor ID by F.L.G. in response to an application. Company or visitor ID must always be visible. The site manager can permit exceptions to the requirement to wear ID if this is appropriate for safety/security reasons. Company or visitor ID must be shown to site security staff , either unprompted when passing through site access points or, when on a site, on request. If access technology for scanning company ID is available at gates, it must be used when entering and leaving the relevant F.L.G. site. ID restrictions in specific parts of sites and at specific times must be complied with. Children under the age of 14 do not have any access to F.L.G. sites. Bringing animals onto sites is strictly prohibited.

3.4 Checks

Site security staff have the right to check access and visiting authorisations at F.L.G. sites. Vehicles and construction site equipment can also be inspected to protect property. Site security staff are permitted to check cabinets, lockers or other sealed repositories only if there is a strong suspicion of a criminal offence and the holder/owner has consented to the opening of the cabinet, locker or other sealed repository. Site security staff act exclusively at the request of the supervisor or manager from the external company of the relevant person. Bags and other containers must be opened at the request of site security staff when entering and leaving F.L.G. sites. Technical selection equipment assists with the random checks conducted by site security staff at F.L.G. sites. On request, site security staff must be given the opportunity to inspect vehicles for items being transported.

3.5 Staying at F.L.G. sites

Employees, service providers, suppliers, external companies and visitors are permitted to stay in the areas where their official work-related activities take them. They are also permitted to enter generally available facilities (e.g. canteens) - in the case of visitors, only under supervision. They must make their way to the relevant areas without taking any detours. Staying at F.L.G. sites beyond this scope is strictly prohibited. It is not permitted to spend the night at F.L.G. sites (e.g. in site huts or vehicles).

3.6 Alcohol, drugs, smoking

It is forbidden to bring alcohol or other intoxicating substances onto F.L.G. sites, consume them on the premises or distribute them. Bringing alcohol can be approved in exceptional cases by the site manager/operator, e.g. for preparing dishes in the canteen or in the case of gifts from corporate customers. Nobody under the infl uence of alcohol or other intoxicants is permitted to enter F.L.G. sites. Smoking is prohibited on all roads and areas within F.L.G. sites. Smoking is also prohibited in all buildings with the exception of areas where it is expressly permitted by the site manager/operator.

3.7 Taking photos and videos

Photos and videos may be taken at F.L.G. sites only with the express permission of the site manager/operator.

3.8 Ban on firearms

It is prohibited to bring firearms to F.L.G. sites, store them in company vehicles or manufacture them on F.L.G. sites.

3.9 Ban on using drones

It is prohibited to bring drones to F.L.G. sites or to have them fly over F.L.G. sites. Exceptions can be granted by the site manager/operator.

3.10 Wearing headphones

Wearing headphones, in particular to listen to music, is strictly prohibited on F.L.G. sites if this makes it impossible to perceive or register warnings, signals or safety-related instructions, unless wearing headphones is compulsory for ear protection.

3.11 Company property

Theft, fraud, embezzlement, property damage and all other criminal offences to the detriment of companies or persons are to be reported to site security staff immediately. Remaining stocks of materials, samples and waste must not be taken away from sites without permission in writing from the owner or their representative. The appropriate material release papers must be shown to site security staff unprompted at exit points.

3.12 Accident prevention, environmental protection

Any person entering F.L.G. sites must be aware of the relevant required safety instructions and the applicable alarm regulations. The relevant accident prevention regulations and safety guidelines, environmental protection regulations, and written or verbal instructions must be carefully observed and complied with. In the case of incidents involving imminent danger, anyone affected who becomes aware of such an incident must immediately draw attention to potential sources of risk for people, property and the environment and notify the responsible authorities within F.L.G. Work must always be registered at the company reporting point. In the case of work involving particular risks that requires permission in writing, the permit procedure that has been introduced must be complied with. Accident prevention equipment, special safety devices and facilities for environmental protection must not be removed, damaged or made unusable without authorisation. Anyone who notices that such equipment, devices or facilities are missing or defective must report this immediately. The same applies to damage or defects and to all other circumstances that experience shows could cause accidents.

3.13 What to do in the event of an accident, fire or release of a substance

Site security staff must be notified of traffic accidents on F.L.G. sites. All other accidents, releases of substances and fires must be reported to the site manager/operator immediately. As far as possible, the scene of an accident should be left undisturbed for investigation. Instructions from persons who are tasked with fire protection or safety/ security activities must be followed immediately. Anyone who discovers a fire is obliged to raise the alarm immediately, using the emergency number 112 (0 112 internally). Small-scale fires that have been extinguished using hand-held fire extinguishers must be reported to the local fire protection officer. Anyone who is not tasked with performing response measures or providing assistance must keep away from the scene of an accident.

3.14 Disruption and a peaceful working environment

All persons are obliged to ensure order and cleanliness at F.L.G. sites. In generally accessible areas at F.L.G., it is strictly prohibited to put up posters, mark walls, distribute fl yers, leaflets or other printed materials, make audio announcements, sell or offer goods privately, organise unauthorised gatherings, collect money or signatures or stage gambling. Any public party political activity is prohibited. Activities carried out on behalf of non-political, external associations are also prohibited if they disrupt or endanger safety, order or a peaceful working environment.

3.15 Traffic areas

Routes and areas other than roads can only be used/driven on with the consent of the person responsible for the assignment. The traffic rules as per the German road traffic code apply at F.L.G. sites in conjunction with the sites' specific rules and signage. The maximum speed limit is 20 km/h. Permission from the site manager/operator is required for driving and parking within the protected site area.
